Certifications

For: Trainer, Manager, Admin | Tier: Standard and Pro

Certifications are your proof that employees have been trained and are qualified to perform their jobs safely. SafePath tracks both the certificates generated from completed training and the external certifications your employees earn outside the platform — giving you one place to manage it all.


Two Types of Certifications

Auto-Generated Certifications

When an employee completes a SafePath course and meets the passing requirements, a completion certificate is generated automatically. These certifications include:

  • Employee name
  • Course title
  • Completion date
  • Quiz score (if applicable)
  • Expiration date (if set by the course creator)

No manual work required — the record is created the moment the employee passes.

Manually Added Certifications

Many employees hold certifications earned outside of SafePath — forklift operator licenses, CPR/First Aid cards, HAZWOPER certificates, confined space rescue qualifications, and more. You can add these to SafePath manually so that all certification records live in one system.

To add an external certification:

  1. Go to SafePath then Certifications
  2. Click Add Certification
  3. Enter the employee name, certification type, issuing organization, issue date, and expiration date
  4. Upload supporting documentation if available (scanned certificate, card photo, etc.)
  5. Click Save

Expiration Tracking

Many safety certifications have expiration dates — forklift certification requires renewal every three years, CPR/First Aid annually, and HAZWOPER refresher training every year. Keeping track of these deadlines across dozens or hundreds of employees is one of the biggest headaches in safety management.

SafePath solves this with automated expiration tracking:

  • Active — Certification is current and valid
  • Expiring Soon — Certification will expire within 90 days
  • Expired — Certification has passed its expiration date

Renewal Alerts

SafePath sends automatic alerts before certifications expire. You can receive notifications at:

  • 90 days before expiry — Early warning to plan renewal training
  • 60 days before expiry — Time to schedule the course or exam
  • 30 days before expiry — Urgent reminder to act before the certification lapses

These alerts go to both the employee and their manager (or trainer), so nobody is caught off guard by an expired certification during an OSHA inspection.


Certification Dashboard

The Certifications page provides a summary view across your organization:

  • Total active certifications and their breakdown by type
  • Expiring soon count — certifications due to expire in the next 30, 60, or 90 days
  • Expired count — certifications that have already lapsed and need renewal
  • Filter by employee, certification type, site, or status

This view is essential during audit preparation. OSHA inspectors and insurance auditors may ask for proof that specific employees hold specific certifications — and this page gives you the answer in seconds.


Certificate Preview and Download

You can view and download any certification from SafePath:

  • Open a certification record to see all details
  • Click Download to save a PDF copy of the certificate
  • Employees can also access their own certificates from their My Training page

Keeping digital records means you never have to dig through filing cabinets looking for a training certificate again.
