Track Employee Certifications
For: Trainer, Manager | Tier: Standard and Pro
This guide walks you through viewing certification status across your organization and adding external certifications that employees earned outside of SafePath.
Viewing Certifications
- Go to SafePath in the main navigation
- Click Certifications
- You see all certifications across your organization, with columns for employee name, certification type, status, issue date, and expiration date
- Use the status filter to narrow your view:
- Active — Currently valid certifications
- Expiring Soon — Certifications expiring within 90 days
- Expired — Certifications that have already lapsed
- Use additional filters for site, employee, or certification type to find what you need
Adding an External Certification
Employees often hold certifications earned outside of SafePath — forklift licenses, CPR/First Aid cards, HAZWOPER certificates, and more. To add one:
- On the Certifications page, click
Add Certification - Select the employee from the dropdown
- Enter the certification type (e.g., "Forklift Operator License")
- Enter the issuing organization (e.g., "National Safety Council")
- Set the issue date
- Set the expiration date (if applicable)
- Upload supporting documentation if available (scanned certificate, photo of the card, etc.)
- Click
Save
The certification now appears in the employee's record and is tracked for expiration just like auto-generated certificates.
Setting Up Expiration Alerts
SafePath automatically sends alerts before certifications expire. Notifications are sent at:
- 90 days before expiry
- 60 days before expiry
- 30 days before expiry
Alerts go to both the employee and their manager or trainer. No additional setup is required — expiration alerts are active for any certification with an expiration date.
Tips
- Check the Certifications page monthly. A quick review of the "Expiring Soon" filter helps you plan renewal training before deadlines arrive.
- Add all external certifications. The more complete your records, the easier it is to respond to audit requests and OSHA inspections.
- Keep supporting documents attached. If an inspector asks for proof of a forklift certification, having the scanned document in SafePath is faster than searching through filing cabinets.
