Bulk Invite Users
For: Admin | Tier: Standard+
When you're onboarding an entire team — or rolling Tellus out to a new site — inviting users one at a time is slow. Bulk invite lets you add up to 100 users in a single upload.
Steps
- Navigate to AdminHQ from the main menu
- Click People in the sidebar
- Click
Bulk Invitein the top-right area - Click
Download CSV Templateto get the pre-formatted spreadsheet - Open the template in Excel, Google Sheets, or any spreadsheet editor
- Fill in one row per user with the following columns:
- email — The user's work email address (required)
- full_name — First and last name (required)
- role — One of:
admin,manager,coordinator,trainer,employee,viewer,contractor,consultant(required) - site — The name of the site to assign them to (optional, must match an existing site name exactly)
- Save the file as CSV
- Back in Tellus, click
Upload CSVand select your file - Review the preview table — Tellus validates each row and flags any errors:
- Red rows have issues (invalid email format, unrecognized role, unknown site name)
- Green rows are ready to send
- Fix any errors by editing the CSV and re-uploading, or remove problem rows
- Click
Send All Invitations
What Happens Next
- Each valid user receives an invitation email with a link valid for 7 days
- All invited users appear on the Pending Invites page
- You'll see a summary showing how many invitations were sent successfully
Tips
- Match site names exactly — The site name in your CSV must match what you've set up in AdminHQ. Check AdminHQ > Sites if you're unsure of the exact name.
- One role per user — Each row assigns a single role. If someone needs different roles at different sites, invite them with one role first, then adjust site-scoped roles from their user profile.
- Check your user limit — Bulk invite counts against your plan's user limit. If you try to invite more users than your plan allows, the upload will flag the excess rows.
- Re-upload is safe — If a user was already invited (same email), Tellus skips the duplicate rather than sending a second invitation.
