Getting your chemical inventory into Tellus should not slow you down. Quick Import gives you multiple ways to capture inventory data fast — from scanning barcodes on the warehouse floor to photographing product labels on a shelf. Anyone on your team can help capture data, and supervisors handle the quality control through the review queue.

How It Works​

Quick Import uses a two-step workflow that separates data capture from quality control:

  1. Capture — Field workers quickly add items using any available import method
  2. Review & Approve — Managers review, correct, and approve items before they enter your final inventory

This separation means anyone can help capture inventory without worrying about perfect data entry. Your manager handles verification, and approved items are automatically promoted to your live inventory.

Import Methods​

Photo Capture (Active)​

Walk the warehouse floor and take photos of product labels. Tellus uses AI and OCR to extract product information automatically.

  1. Select your site and location (stays set for your entire session so you can move through a room quickly)
  2. Take 1 to 5 photos of the product label
  3. Enter the quantity and unit
  4. Add optional notes (for example, "container leaking" or "label faded")
  5. Tap Submit to send it to the review queue
  6. Tap Add Another to keep going without leaving the capture screen

Tellus processes your photos in the background — extracting text, reading any visible barcodes, and matching to known products in your catalog. Match results appear during the review step.

Best practices for photo capture:

  • Photograph the product label straight-on with good lighting
  • Include the product name and manufacturer in the frame
  • If the label wraps around a container, take multiple photos
  • Add notes for anything unusual — damaged labels, partially empty containers, etc.

Barcode Scan (Active)​

For products with readable barcodes, scanning is the fastest method. Point your device camera at the barcode, confirm the quantity, and move on.

  • Scan 50+ items in a session without waiting for server responses
  • Tellus matches the barcode to your product catalog in the background
  • Matching results appear during the review step
  • Works with UPC, EAN, and Code 128 barcode formats

How to use it:

  1. Navigate to ChemIQ > Quick Import > Barcode
  2. Select your site and location
  3. Point your camera at the product barcode
  4. The barcode value is captured automatically
  5. Enter the quantity
  6. Tap Submit and move to the next product

Excel / CSV Import (Coming Soon)​

Migrating from spreadsheets or another system? Upload your existing data:

  • Download the Tellus template, or upload your own file and map columns
  • Required columns: Product Name, Quantity
  • Optional columns: Manufacturer, Barcode/UPC, Unit, Site Name, Location Name, Notes
  • Preview and fix validation warnings before submitting

Invoice / Purchase Order Upload (Coming Soon)​

Turn invoices into inventory entries. Upload a PDF or image of your purchase order, and Tellus extracts the line items using AI:

  • Supports PDF invoices and images (JPG, PNG)
  • Extracts product name, manufacturer, quantity, and unit
  • Assign a default site and location, or set per item during review

Add from SDS Library (Coming Soon)​

If you have already uploaded SDS documents, you can create inventory entries directly from your SDS library. Product name, manufacturer, and hazard information are pre-populated from the SDS.

Copy from Another Site (Coming Soon)​

Setting up a new location with similar chemicals? Copy inventory from an existing site:

  • Copy mode — Creates duplicate entries at the new site (original stays)
  • Transfer mode — Moves inventory to the new site
  • Select which items to copy and adjust quantities as needed

Review Queue​

All imported items land in a review queue for manager approval before going into your final inventory. The review queue shows:

  • Submissions grouped by import method, date, and who captured them
  • Match confidence for each item:
    • Green — High confidence match to a known product
    • Yellow — Partial match; needs attention
    • Red — No match found; requires manual entry
  • Filter by site to focus on one location at a time
  • Batch approve or batch reject to move through items quickly
  • Edit any item to correct product names, quantities, or locations before approving

What Happens During Review​

Tellus automatically tries to match each imported item to your existing product catalog and SDS library:

Items can be approved without an SDS attached. They will be flagged in your inventory so you can attach an SDS later.

Approval to Inventory​

When you approve a submission, Tellus automatically promotes it to your live inventory:

  • A product catalog entry is created or matched
  • An inventory record is created at the specified site and location
  • The chemical appears immediately in your inventory list
  • SDS data, hazard classifications, and regulatory flags are linked automatically if an SDS match was found

My Submissions​

The My Submissions tab lets you track the status of items you have submitted:

  • See which submissions are pending review, approved, or rejected
  • View the matched product information once review is complete
  • Resubmit rejected items with corrections

This is especially useful for field workers who want to confirm their captures were processed successfully.
