Review and Approve Import Submissions
For: Manager, Admin | Tier: Standard and Pro
When team members submit chemicals through Quick Import (photo capture or barcode scan), those submissions land in the Review Queue for verification before entering your live inventory. This step ensures data quality while still allowing anyone to help capture inventory in the field.
Prerequisites
- You must have Manager or Admin role
- Submissions must exist in the review queue (submitted via Photo Capture or Barcode Scan)
Steps
- Navigate to ChemIQ > Quick Import > Review Queue
- Filter by site if you want to focus on submissions from a specific location
- Click on a submission to open its details:
- View the captured photos or barcode data
- See the AI-matched product (if a match was found)
- Review the match confidence level (green = high, yellow = partial, red = no match)
- Verify the product information:
- Confirm the product name and manufacturer are correct
- Check the quantity and unit
- Verify the site and location
- Edit any fields that need correction — you can update the product name, quantity, location, or matched product
- Approve the submission to promote it to your live inventory, or Reject it with a reason
- Use batch actions for efficiency — select multiple submissions and approve or reject them at once
Expected Result
Approved items are automatically promoted to your live inventory. A product catalog entry is created or matched, an inventory record is created at the specified site and location, and SDS data is linked if a match was found. The submitter will see the updated status in their My Submissions tab.
Rejected items are returned to the submitter with your rejection reason, and they can resubmit with corrections.
Tips
- Work through one site at a time — Use the site filter to focus your review session.
- Trust high-confidence matches — Green confidence items with accurate product matches can often be batch-approved quickly.
- Investigate yellow and red items — These need closer attention. Check the photos, correct product names, or manually search your catalog for a match.
- Items without SDS — You can approve items that do not yet have an SDS linked. They will be flagged in inventory so you can attach an SDS later.
